This Privacy Policy explains how Awards Capture LLC, a Virginia limited liability company, doing business as AwardsCapture ("AwardsCapture," "we," "us," or "our"), collects, uses, discloses, and protects information when you visit our website, create an account, start a trial, use our platform, or communicate with us (together, the "Services").
By using the Services, you acknowledge that you have read and understood this Privacy Policy. This Privacy Policy is a notice describing our information practices; the Terms of Use are the agreement that governs your use of the Services.
Information you provide. Depending on how you use the Services, we may collect:
Information collected automatically. Like most online services, we may automatically collect limited technical and usage information, such as your IP address, browser and device type, pages viewed, referring pages, and date and time of access, through server logs and similar means.
Cookies. We use cookies as reasonably necessary to keep you signed in and to operate and secure the site. You can manage cookies through your browser settings, but some features may not work properly if certain cookies are disabled. If we use additional cookies or similar technologies in the future, we will update this Privacy Policy accordingly.
We use the information we collect to:
Certain features of the Services are powered by third-party artificial intelligence providers. Your content is sent to these providers only as necessary to deliver the feature you are using. We do not sell your content.
We do not use your content to train any artificial intelligence system, our own or a third party's. We do not train AI on your content, we do not fine-tune AI on it, and we do not permit our providers to train their AI on it. This applies to everything you upload and everything the Services generate for you.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We may share information in these limited circumstances:
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, and disclosure. No system is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your login credentials and for activity under your account.
We retain personal information for as long as reasonably necessary to provide the Services, maintain your account, support you, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it. Residual copies may persist for a limited period in backups.
You may access and update much of your account and organization information directly in your account settings.
Depending on where you live and the laws that apply to you, you may have the right to:
To make a request, contact us at support@awardscapture.com. We may need to verify your identity before acting on a request, and some information may be retained as permitted or required by law. If we decline a request, we will explain why, and you may appeal by replying to our response; we will inform you of the outcome of the appeal.
You can request deletion of your account by contacting us. When your account is deleted, we stop using your content to provide the Services and delete it from our active systems, subject to the retention and backup practices described above.
Parts of the Services are built on information from public federal and other public sources, such as government opportunity listings, award records, and public filings. That information is drawn from public records rather than collected from you as a user. This Privacy Policy governs the personal information we collect from you in connection with your use of the Services.
IRS Form 990 filings. The nonprofit directory displays information from IRS Form 990 filings as filed. Form 990 is a public return that the IRS itself publishes. The parts we display include the names, titles, compensation and addresses of officers, directors, trustees and key employees, where the filing contains them. We show what the return says, for the years it was filed, and we attribute it to the filing it came from.
What we will not do with it. We do not enrich, augment, or combine filing data with information about those individuals from any other source. We do not look a named person up elsewhere, we do not attach anything found elsewhere to their name, and we do not build a profile of any person. Rendering a public filing as filed is the whole of what we do with it, and that boundary is deliberate.
A Form 990 is the filing organization's own return. If what it says about a person is wrong, it is corrected by that organization amending the return with the IRS, and we display the corrected filing once the IRS publishes it. If you are named in a filing we display and you want to raise something with us, write to support@awardscapture.com.
One feature collects information about organizations that have no relationship with us. This section describes it, because a notice that only covers our own users would not cover it.
What it does. A customer working on an approach to a funder can ask us to find that funder's general contact address. When they ask, and only then, we read the funder's own website and look for a published organizational address. We do not do this in the background, we do not do it for the directory as a whole, and we do not do it unless a customer asks for that specific organization.
What we collect. A general organizational address such as a grants, programs or information inbox, together with the page we read it from and the date we read it. Nothing else.
What we do not collect. When we read a funder's website for a contact address, we do not collect or store personal contact addresses. Not a person's name, not a personal email address, not a direct telephone number, not a social media profile. Our system recognises organizational mailboxes and refuses everything else, so an address that belongs to a person is discarded rather than stored, even where the page publishes it. If a page carries only a named person's address, we store nothing and record that nothing was found.
That rule describes this feature. It is not a statement about the Services as a whole. Elsewhere we display public IRS filings as they were filed, and those filings name people. Section 8 above says what we show and what we will not do with it.
How we read the page. We read only what the organization's website makes available to be read, and we do not read a page a site has asked not to be read. There is no override.
Where it comes from and why. The information comes from the organization's own published website rather than from any individual. Our purpose is our legitimate interest, and our customers' legitimate interest, in contacting a funding organization through the address it published for that purpose. We do not use it for marketing and we do not sell it.
How long we keep it. Until it is removed on request, until the organization stops publishing it and we find that on a later check, or until the record is deleted.
How an organization asks for removal. If you are an organization and you do not want us to hold your contact address, write to support@awardscapture.com from that address or from any address at the same domain, and say so. We will delete it and add the address to a suppression list so that it is not collected again, whoever asks. We do not require you to have an account with us, we do not ask you to justify the request, and there is no charge. We aim to act within five business days.
You may also have rights of access, correction, restriction, objection and erasure in respect of this information under the law that applies to you. The same address handles those requests.
The Services are a business tool intended for organizations and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us personal information, please contact us and we will take reasonable steps to delete it.
We may update this Privacy Policy from time to time. For material changes, we will provide reasonable notice by posting the revised policy and updating the effective date above. Your continued use of the Services after the revised policy takes effect reflects your acknowledgment of the updated policy.
